Job Description:
Manage the internal and external administration of an organization or a task.
Job Responsibilities:
- Maintain high standards for administration
- Manage internal mailing system
- Management and control over bank as required from time to time
- Capture received stock per delivery note or invoice from supplier on system according to policies and procedures
- Ensure goods that is delivered short or damaged to be claimed
- Stock control process, including stock count and all other relevant duties as required
- Cashing up of cashiers as per policies and procedures from time to time
- Always ensure safe keeping of cash and follow procedures during cash-in-transit pick ups
- Minimize risk to the company by accurately capturing GRV’s and managing stock in receiving bay accurately
- Ensure end of day reports are printed and actioned daily
- Client service
- Other job-related administrative duties
- Following up on Sales Orders that are not yet approved on a daily basis
- Revision of loading documents on a daily basis
- Update loading sheets
- Ensure that all loads have been invoiced on a daily basis
- Post Customer Invoices and Credit Notes on VKB’s internal system according to policy and procedure
- Post Credit Notes on internal system
- Send out loading documents, Customer Invoices and Credit Notes to customers on a daily basis
- Send out Customer Statements on a weekly basis
- Follow-up on overdue/ outstanding amounts from customers
- Report overdue amounts or when credit limits were exceeded to credit manager
- Ensure that all documents are saved on internal systems (SharePoint/ File Director)
- Ensure availability of all documents for audit purposes
