Job Description:

Job Responsibilities:
- Maintaining and updating all EWP documents and records according to statutory and ethical requirements (HPCSA & SACSSP);
- Liaison with internal and external clients through screening calls, emails and inquiries and providing a first line response and feedback to clients on progress of enquiry;
- Act as secretariat for EWP meetings and coordinate logistical arrangements for meetings;
- Provide general administration function and support for the EWP unit;
- Provide financial support by controlling the income and expenditure of the unit, assist with obtaining quotations and processing orders, process monthly claims of service providers, verifying invoices, statements and claims.
- Filing and archiving of EWP documents in hard copy and electronically:
- The coordination of all Employee Assistance Programme (EAP) services of counselling sessions, interventions, support groups and workshops;
- Ensure effective document management by channelling documents to the correct persons, tracking progress and update all indexes;
Job Requirements:
- High level of communication skills (written and verbal);
- Ability to maintain high levels of confidentiality and accountability;
- Advanced computer skills: MS Office Suites, Google, MS Teams;
- Ability to work independently and handle simultaneous assignments with accuracy and success;
- Good minute taking and report writing skills;
- Good project management skills;
- Strong planning, organising/prioritising skills
- Strong interpersonal skills, especially across all internal and external entities
- Innovative, creative and analytical thinking skills:
- Sensitivity to diverse environment.
- Accuracy and attention to detail;
- Ability to work under pressure
- Sound administrative skills;
- Ability to work on an electronic data system and competency with internet use
Qualification & Experience:
- A three-year Diploma in Office Management or related field and three years’ relevant experience or a Grade 12 with five years’ relevant experience
- A degree in Office Management or related field;
- Two years’ administrative experience in a counselling, wellness, health related or HR environment.
