Job Description:

The Deputy Director: Student Services is responsible for the Student Services Division within the Department of Enrolment and Student Administration (DESA). The purpose of this position is to ensure that student (and in certain cases staff) services are optimised by user-friendly systems and self-help functionalities through continual improvement, innovation and enhanced business process management. A key focus of this position is ensuring that the University’s brand and reputation is upheld by providing quality information that is reliable and accurate, and services that are user-friendly, integrated and streamlined. Services include the functions of general enquiries, online support, call centre, career services, access control cards, parking, postal services, student communication, technology support and DESA projects.

Job Responsibilities:

  • Establish an organisational structure in which posts can be utilised to cover the complete extent of functions. Continuously review the structure and systems, based on formulated aims and strategies, to ensure optimal and effective work output;
  • Organise the activities of the division to serve its strategic focus and that of the University;
  • Establish effective work relationships and communication channels with internal and external stakeholders and other relevant entities;
  • Develop and establish relationships and lines of communication between substructures and individual posts, to ensure that staff members succeed in rendering services that achieve optimal client satisfaction;
  • Maintain high levels of integrity and acceptable ethical standards;
  • Ensure compliance with applicable legislation, regulations and national policy directives;
  • Monitor the functioning of the division and establish systems for continually identifying and addressing any gaps and/or shortcomings;
  • Provide strategic leadership and decision making in respect of the Student Services Division’s activities according to the vision, mission, aims and objectives of the department’s strategy;
  • Initiate and influence policy at macro level by providing strategic information to the Director;
  • Innovation and business process re-engineering on a continual basis to ensure the strategic objectives of the division are achieved and that the image of the institution remains competitive;
  • Contribution towards minimizing or eliminating risks that the division may be exposed to through taking appropriate steps proactively within the sphere of the post’s portfolio;
  • Enhance and build on the reputation and image of the University of Pretoria by providing user friendly, integrated, reliable systems with a strong focus on customer equity;
  • Provide strategic advice and support to the Director, as required, as well as a complete monthly progress report and analysis of the division’s performance against the departmental strategic plan;
  • Strategic planning in terms of the future migration and infrastructure needs of the division;
  • Ensure that the UP strategic plan and the division’s plans / objectives are aligned, implemented and achieved;
  • Do continuous short- and medium-term planning to ensure the effective functioning of the division, and long term planning for system related aspects;

Job Requirements:

  • Strong interpersonal skills;
  • Relevant language and communication skills;
  • Excellent negotiation skills;
  • Knowledge of best practices regarding national and international student systems used by tertiary institutions;
  • Ability to deal with complexity;
  • High level of leadership skills;
  • Data interpretation / analysis and report writing experience;
  • The ability and sophistication needed to interact with internal stakeholders, business and external stakeholders;
  • Analytical skills;
  • Ability to function in a real time environment;
  • Administrative and computer literacy skills;
  • Flexibility;

Qualification & Experience:

  • Experience in designing and implementing business plans / proposals;
  • Applicable Master’s degree (e.g. Operations or management related);
  • Management of student services;
  • Experience in the use of PeopleSoft systems – particularly the self-help functionalities and CRM;
  • Experience in student communication.
