Job Description:

The Administrative Assistant – Facilities (Receptionist) greets and directs visitors, answers phone calls and maintains security of the building by strictly following procedures when directing external visitors. The role maintains an inventory of stationary and supplies on multiple floors.

Job Responsibilities:

  • Organize, maintain, and keep storage room, mail room, supply cabinets, coffee corners, and meeting rooms tidy
  • Maintain reception area including coffee and refreshments, catering, and supplies
  • Sort and organize incoming postal deliveries
  • Perform other duties as assigned
  • Maintain meeting calendars, various tracking sheets, Internal PR Communication Boards, and display weekly store flyers
  • Scan invoices, sort mail, send package notifications, order office supplies and coffee, issue daily access badges, update Envoy, and ensure guests are welcomed properly
  • Restock weekly store flyers, office supply cabinets, coffee, and related supplies throughout the building
  • Greet and direct visitors, vendors, and Lidl US employees
  • Maintain security by following established procedures, maintaining a visitor log book, and issuing visitor badges
  • Assist Facilities with projects and daily operations including but not limited to event set-up, running errands, and enforcing concepts

Job Requirements:

  • Good organizational and problem-solving skills, attention to detail and ability to multitask
  • Ability to perform basic math functions
  • Knowledge of principles and processes for providing customer services
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Customer service experience
  • Associates degree in related field
  • Good written and verbal communication skills
  • High School diploma or GED
